Trade show booth checklist: what to order and when

A simple plan for your next booth: the core pieces every exhibitor needs, the extras that pull people in, and a timeline that avoids rush fees.

A good booth does one job: it tells people walking past who you are and why they should stop in the three seconds they give you. You do not need a lot of pieces to do that. You need the right ones.

The core kit

  1. A backdrop. A fabric pop-up sets up in about 90 seconds with the graphic already attached.
  2. A retractable banner stand at the front edge of the booth. Our standard stand uses anti-curl film so the edges stay flat.
  3. A fitted table cover. A boxed, hemmed table cloth looks tailored and hides your storage underneath.

Extras that pull people in

  • Feather or teardrop flags for outdoor shows and entrances.
  • Flyers or brochures to hand out, with a clear next step printed on them.
  • Business cards, including a writable version for notes and appointments.

Design so it reads from the aisle

  • Put your logo and one short line in the top third of the backdrop. The table hides the bottom.
  • Use one headline, not a paragraph. Details go on the banner stand and the handouts.
  • Use the same colours on every piece so the booth reads as one brand.

Timeline

Standard production is 7+ business days, and the clock starts at artwork approval. Leave time for a proof round and for shipping to the venue. Rush jobs are custom quoted.
